This policy applied to information John Beane’s Charity collect about individuals who interact with our organisation. It explains what data we collect and how it is used and stored. We will use your date in line with rights set out in General Data Protection Regulation. (GDPR)

It is collected primarily from applications and covering letters/emails from supporting organisations. If you give information on behalf of a 3rd party, you must ensure that you have their permission to do so. The only information we collect will be relevant to the application.

How the data is used.

Use of personal information under data protection must be justified under one of the following grounds:

·         Necessary to fulfil a contract

·         To comply with legal obligations

·         Where there is vital interest and is necessary to save a life.

·         To fulfil the public interest

The lawful basis on which we will be processing personal information is legitimate interest, being necessary to do so in order to maintain our relationship with you, consider and deal with the provision of grant funding and maintain our own records.

Personal information is stored electronically. All trustees are aware of GDPR and the need to keep information secure. There are suitable physical, electronic and managerial processes in place to safeguard and secure information. Any breaches will be reported to the relevant responsible party.

How long is the information held?

We will hold the information for as long as is necessary for the purpose for which it was obtained and for us to comply with regulations and requirements of monitoring organisations.

Any data held will be reviewed periodically to ensure it is still appropriate to hold it.

Data is only shared among the trustees, when necessary to carry out our duties.
